Delegate Questions & Answers

1. How do I register for the event?
You can register by telephone on +44 (0)1242 529090 or by completing the registration form on the back of our programmes and faxing it to us on 44 (0)1242 529 060 or by clicking on the conference link on our website.

2. How and when should I pay?
Payment can be made by credit card, bank transfer or by cheque. Although payments by cheque are not accepted unless paid through a UK based company. All payments must be made 14 days after receipt of our invoice, or immediately if the registration is made within one month of the conference. All payments must be received prior to the event. Please note your booking is invalid without full payment. Our terms and conditions can be found on our website and are included with our invoice.

3. Where can I find your bank details?
The bank details are featured on our invoices.

4. When will I receive confirmation of my registration?
Your registration will be confirmed by email upon receipt of your registration.

5. Do you offer Visa support?

Once full payment has been received, we will supply you with an invitation letter to support your visa application.

6. What is included in the conference fee?
The registration fee covers attendance at all sessions, refreshments, lunches and any conference receptions, together with the official conference documentation. Your accommodation is not included in the conference fee.

7. How do I book my hotel accommodation?
You can take advantage of the special delegate bedroom rate at the host hotel. To receive the hotel booking form please contact Liz Goodby:

8. What is the deadline to register my participation?
There is no deadline to register, however we recommend you book early to avoid disappointment as limited spaces are available.

9. How many delegates will be attending the conference?
This varies on each conference the number of participants attending each conference will range from 150 - 200.

10. Am I able to make a substitution if I am unable to attend?
Substitutions can be made at any time prior to an event, please send us an email Liz Goodby Tel: +44 (0) 1242 529090 l.goodby@theenergyexchange.co.uk with full contact details of your replacement.

11. What sponsorship packages do you offer?
All of our sponsorship packages are individually tailored to meet our sponsor's specific needs. If you are interested in sponsoring or exhibiting at an event, contact the Conference Manager for that event to discuss various options available on +44 (0) 1242 529090.

12. Where can I find your calendar of forthcoming events?
You can view our events on the website by clicking on the Event section. Alternatively please contact our London office:

13. How can I download the conference presentations from the website?
After the event has taken place, the conference presentations are featured on our website. The Conference Manager for the event will provide registered attendees with a password and a link to obtain the featured presentations.

14. What are your terms and Conditions?
All conference registrations must be received in writing.

PAYMENT:

Payment of the full delegate fee is due 14 days after receipt of the invoice, or immediately, if the registration is made within one month of the event.

PAYMENT MUST BE RECEIVED PRIOR TO YOUR ATTENDANCE.

Please note your booking is invalid without full payment.

CANCELLATIONS:

Made one month prior to the start of the conference will be refunded less a 50% administrative charge per delegate, of the full conference fee. Payment will be made after the conference has taken place.

CANCELLATIONS:

Made within one month of the start date of the conference will receive no refund. Substitutes are acceptable at any time.

FORCE MAJEURE:

Please note that in the case of force majeure The Energy Exchange is relieved of all obligations. Force majeure includes any circumstance beyond the will of The Energy Exchange, that impedes permanent or temporary compliance with the obligations, such as "acts of god" including war, danger of war, government regulations, revolts, strikes, transportation difficulties, fire, or severe disturbances affecting the congress organisation or its suppliers.

16. What is the dress code for the conference and any social functions?
Business attire is suitable for attendance at the conference together with any social functions that take place alongside the event.
